FAQ: COI for WUSTL-Key only

Q. Why is the same company listed multiple times for the same relationship type?

Why: CME combines things like Consulting/Advisory Committees, while the University COI has each relationship as separate line items.

Next Steps: The presenter only needs to list them one time in their disclosure announcement to the audience. No need to contact CME or the presenter, this is a system limitation that cannot be changed.

Q. The presenter indicated they did their University COI, but it is not showing in their CME record? Or can they enter their disclosure directly into the CME database?

Why: This means either the person’s CME database record is not linked to their WUSTL Key or their disclosure was recently updated in the WU COI system and has not been sent to CME yet for synching. This sync occurs 2 times during standard work hours and again overnight. Anyone who has logged into the CME database with their WUSTL key will be restricted from adding or editing their disclosure within the CME database. All changes must be done in the WU COI database.

Next Steps: Confirm with them if they have ever logged into the CME database (this is necessary in order for the system to add their WU Employee ID to their CME record). If they have not, have them do that and wait for the next sync. If this does not change anything, please send their name, @wustl email address and, if possible, their WU Employee ID to cme@wustl.edu and we will get them linked.

Q. Presenter says relationships showing are not correct even though they just changed it in the University COI?

Why: These changes should show the next time the data sync is done. This is done 3x/day.

Next Steps: After making changes in the University COI, they may need to check the Confirmation box even if the changes aren’t showing as the change will come through on the next data transfer from the University COI.

Q. Presenter says relationships are just not correct…period?

Why: All relationships for WU employees are coming directly from the University COI and research management systems.

Next Steps: Any changes that need to be made must be done there by the presenter or contact COI@wustl.edu to clear up any issues. https://coi.wustl.edu/
