Mandatory Disclosure Guidelines and Requirements

It is required that all CHAIRS, CO-CHAIRS, PLANNERS, SPEAKERS, MODERATORS, PANELISTS disclose all financial relationships with ineligible companies they have currently or had within the past 24 months.

Check if the Speaker has a current disclosure in the database

> In the options for the session, click on "Reporting" and then click on "Status Report"

> To check for Disclosure and Content Agreement forms

> Click on "Completed" to view the disclusure on file

If the disclosure indicates the speaker has relationships, an Independent Reviewer (IR) will need to be assigned (See Independent Reviewer section for instructions)

If you see "Not Completed," the speaker does not have a completed/current disclosure and you will need to contact them (See Contact Speaker section below for instructions)

Contact the Speaker

  • Provide speaker with instructions on what they need to do (see below for a template)
  • Monitor progress of speaker’s completion of forms and submission of presentation--must occur prior to start of event
  • Options to email speaker from the Manage Assignments page of the session:

All disclosures from anyone in control of content must be made available to the attendees prior to engaging in the educational activity.

> To run a report with all of the required disclosure and accreditation information go to the Reporting option of the Session.

> Click on the link for the “Session Credit Claiming QR, Accreditation, and Disclosures” and print or show on screen at the beginning of the presentation.

> Confirm none of the disclosures on this sheet are expired or missing.

Template for Speaker Email

You have been assigned as a speaker for an upcoming CME course. CME has a data management system for you to complete your Disclosure and Standards of Content Agreement for the CE activity you have been assigned. Please log in and complete/review/update your Financial Disclosure and Standards of Content Agreement.

All forms will be completed online and you will upload your PPT presentation there as well. Please complete all forms and upload your presentation by one week prior to your scheduled presentation date.

Here are the instructions to find your forms:

  1. Go to https://cme.wustl.edu/
    • Non-Wash U Employees – click on CME SIGN IN and enter your username & password.  If you do not know your username & password click on “Help me” and follow onscreen instructions
    • Wash U employees – click on WUSTL KEY and enter your username & password
  2. Edit/Complete your Profile information and SAVE
  3. On the right side of screen click on My Activity Center and then click on My Assignments under the appropriate activity
  4. Complete/Update your Financial Disclosure and Standards of Content Agreement. Read, complete and SUBMIT each form
    • Note: WUSTL KEY users will need to update their disclosure in the WU COI site. Those users will be prompted when necessary. Once complete, this will merge with the CME system within 12 hours. 
  5. Scroll to your assigned Session date, click on Speaker Objectives, enter at least 1 objective, and confirm/enter the title of your talk.  Here you can also upload your presentation using the red Upload File button. Browse and find your presentation and UPLOAD.

Notice when preparing presentations.

  • Include your disclosure on a slide at the start of the presentation.
  • All presentations are expected to be based on evidence that is accepted within the profession of medicine as adequate justification for their indication in the care of patients. 
  • Any scientific research should conform to the generally accepted standards of experimental design, data collection and analysis. 
  • Any discussion of any off-label, experimental, or investigational use of drugs or devices should be identified in presentations.
  • Should not be endorsement or include any logos of any ineligible companies (commercial supporters).
  • Should be the views and experiences of the individual presenters. The presenters’ views do not represent the policy or position of Washington University School of Medicine.
